Privacy Policy

Effective date: September 1, 2026 Last updated: September 1, 2026

Urban Chamber ("Urban Chamber", "we", "us") respects your privacy and is committed to protecting the personal information entrusted to us.

This Policy explains how we collect, use, disclose, retain and protect personal information when you visit urbanchamber.ca, contact us, subscribe to our reports or communications, or otherwise interact with us.

1. Our commitment

We handle personal information in accordance with applicable privacy legislation, including the Personal Information Protection and Electronic Documents Act (PIPEDA) and other federal or provincial privacy laws that may apply.

We aim to collect only what is reasonably necessary for identified purposes, use it only for those purposes, protect it with reasonable safeguards, and keep it only as long as needed.

2. Information we collect

Information you give us. At present this is limited to what you voluntarily submit through the website, your name, email address, telephone number, and the content of any message or inquiry you send us.

As our services develop, we may also collect organization or professional details, account and subscription information, billing and transaction information, and service preferences. We will not use personal information for purposes unrelated to those identified when it was collected, unless the law permits or requires it or you consent.

Information collected automatically. Operating and hosting a website involves some technical information being recorded, which may include your IP address, browser and device type, operating system, pages viewed, referring website, approximate location, and the date and time of your visit.

We do not currently use analytics, advertising or tracking technologies beyond what is necessary to operate and secure the site. If that changes, we will update this Policy and provide any notice or choice the law requires.

3. Cookies

We may use cookies, local storage or similar technologies where reasonably necessary to operate, secure and maintain the website. You can control or disable cookies through your browser settings, though some features may not work properly if you do.

4. How we use personal information

We use personal information to:

  • operate and administer the website and our services;

  • respond to inquiries and requests;

  • register and manage subscribers and accounts;

  • deliver the reports, publications and alerts you have requested;

  • send newsletters and updates where permitted by law and, where required, with your consent;

  • process subscriptions and payments, if applicable;

  • maintain and improve our content, coverage and services;

  • protect the security of the site and detect or prevent fraud, misuse and unauthorized activity; and

  • meet legal, regulatory and accounting obligations.

5. Consent and commercial messages

Where the law requires it, we obtain meaningful consent before collecting, using or disclosing personal information. Consent may be express or, where permitted, implied depending on the circumstances. You may withdraw consent on reasonable notice, subject to legal or contractual restrictions, though withdrawing it may mean we can no longer provide a service that depends on the information.

Commercial electronic messages, including newsletters and promotional emails, are sent in accordance with Canada's Anti-Spam Legislation and include the identification information and unsubscribe mechanism the law requires.

Please do not submit sensitive personal information through general website forms unless we have specifically asked for it.

6. Disclosure and service providers

We do not sell or rent personal information.

We may share personal information with service providers who help us operate the business, website hosting, email and communications, payment processing, cloud storage, security and, if introduced, analytics, limited to what they reasonably need to perform their services.

Some providers may store or process information outside Canada. Where that happens, the information may be subject to the laws of that jurisdiction and accessible to its courts and law enforcement. We take reasonable steps appropriate to the circumstances to ensure it is handled in line with applicable privacy requirements.

We may also disclose personal information where required or permitted by law, including in response to a lawful request or court order, or where reasonably necessary to protect the rights, property or security of Urban Chamber, our users or others.

7. Retention

We keep personal information only as long as reasonably necessary to fulfill the purposes for which it was collected, provide our services, maintain business and transaction records, resolve disputes, enforce agreements or comply with legal obligations. Retention periods vary with the nature of the information, whether a subscription remains active, and applicable legal and accounting requirements. When information is no longer needed, we take reasonable steps to securely delete, destroy or anonymize it.

8. Security

We maintain administrative, technical and physical safeguards appropriate to the sensitivity of the information we hold, including access controls, account authentication, secure connections, restricted internal access, and contractual safeguards with service providers. No system of transmission or storage can be guaranteed completely secure, so we cannot guarantee absolute security.

If a breach of our security safeguards occurs, we will take the steps required by applicable privacy legislation, which may include assessing the risk of significant harm, notifying affected individuals and the appropriate regulator, and taking measures to reduce the risk of further harm.

9. Access, correction and complaints

Subject to applicable law, you may request access to the personal information we hold about you, and may ask us to correct information you believe is inaccurate, incomplete or out of date. We may need to verify your identity before responding. Requests can be sent through the Contact section of our website.

We will review and respond to privacy questions and complaints in accordance with applicable law. If you are not satisfied with our response, you may contact the applicable oversight authority, including the Office of the Privacy Commissioner of Canada where PIPEDA applies.

10. Children

Our services are intended for adults and professionals working in planning, development, real estate, municipal affairs and related fields. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will address it.

11. Third-party websites

Our website and publications link to third-party sites and documents, including municipal and government sources. We do not control those sites and are not responsible for their privacy practices, content or security. Review their privacy policies before providing them with personal information.

12. Changes to this Policy

We may update this Policy from time to time to reflect changes in our services, technology, business practices or legal requirements. The "Last updated" date above shows when it was last revised. Where required by law, we will provide additional notice or obtain consent for material changes.
